Terms and Conditions
Please ensure you have read and understood these Terms and Conditions prior to booking. By placing a booking and using the field and barn, you are deemed to have read, understood and accepted them. Kemble's Field (“we”) would like all dogs and humans to have a great time using our field and training barn. Users (“you”) must observe the following terms and conditions to ensure their own safety and that of their dog(s) and to maintain the condition of the field and the barn.
Payment Terms
Use of the field and training barn is by appointment only. Payment for all field and/or barn bookings, activities, events, courses, shoot experience days, pre-assessments and assessments must be made in advance. It is not possible to attend unless payment has been received. We accept payment by BACS, Stripe, PayPal, and credit/debit card online. Please note that it is the customer’s responsibility to ensure that payments are made in full and on time.
"Field Hire" and "Field and Barn" Hire - By the hour
If you are hiring the field, or the field and barn, by the hour, you will have exclusive use of the field, or the field and barn, for training and exercising your dog(s). It is not permitted to use these sessions for commercial use e.g. training clients and their dogs.
All time slots must be booked in advance. Bookings are subject to availability and we reserve the right to cancel or amend time slots should it be deemed necessary. We retain the right to close the field and training barn at any time.
Payments are non-refundable and must be paid in full to confirm the booking. Bookings cannot be cancelled. If you need to reschedule, you can do so up to 72 hours before the booking is due to start by emailing hello@kemblesfield.co.uk. The 72-hour window allows us to fill that time slot again.
There will be no refunds for no-shows to a booking, or if you cut your session short, or are late. If you are late, you will still need to leave the field by the agreed time.
Please do not arrive more than 15 minutes early. There is a 15-minute buffer between sessions to allow time for putting dogs back in the vehicle, throwing any rubbish in the bins, and vacating the field.
If you arrive early and someone else is still using the field, please wait in the lane until they are finished. Please remain in your vehicle with your dog(s) until the previous user has left the site. If the previous user is still in the field after your start time, please call Helen on 07947043330. Never enter the field while somebody else is in it.
Upon booking, you will be provided with a combination code for the gate padlock and/or barn door, which will be updated regularly. Please ensure you have the current code(s) and never share them with anyone else.
The key to the barn is located in a key safe at the roller door end of the barn, on the rear side. The key will open the personnel door next to the roller door. The roller can then be opened from the inside.
At the end of your session, you must close the gate and lock the padlock and/or barn door, even if someone is waiting to come in. This is to ensure that only authorised users with the code(s) can access the field and/or barn. It is your responsibility to ensure that all doors and gates are closed immediately upon entering and leaving the field. It’s imperative that the barn door key is returned to the key safe on departure. If you lose the key, or do not return it to the key safe, we will charge you a fine of £250 for replacements.
"Field and Barn" Hire - By the day
If you are hiring the field and barn by the day, you will have exclusive use of the field and barn. You are permitted to host your own commercial activities, events, courses, workshops, seminars, conferences etc.
For all-day events, you must hire both the barn and the field. You are permitted to arrive as early as you wish. You must leave no later than 9pm, unless you and/or members of your party have booked and paid for camping.
Before an invoice can be issued, you will need to provide us with the following:
- Business trading name and registered address
- Approx. size of the group
- Details of key personnel / contacts on the day
- A copy of the insurance documents
- A copy of the risk assessment documents
You must pay in full up front to secure your booking. If you cancel 2 months before the event, we will refund you in full, minus an admin fee of £25. If you cancel 1 month before, we will refund 66% of the fee, minus an admin fee of £25. If you cancel less than 1 month before, we will not be able to offer a refund, but we will allow you to transfer the booking to someone else. Cancellations must be made by email to hello@kemblesfield.co.uk.

If you or a member of your party lose the key, or do not return it to the key safe, we will charge the person who made the original booking a fine of £250 for replacements.
Other bookings made with Kemble's Field
If you are attending an activity, event, course, workshop, shoot experience etc. at Kemble's Field that was not booked directly with Kemble's Field, please refer to the organiser's terms and conditions, payment and cancellation policies.
If you have booked an activity, event, course, etc, directly with Kemble's Field (e.g. via the website), the payment terms are as above.
Cancellations for any bookings made with Kemble's Field, with the exception of the "field hire" and "field and barn hire" bookings (see terms above), will be subject to the following fees:
- Cancellations received less than 28 clear days before the start date will be charged the full fee. You will not be entitled to a refund. For example, if your course runs on the 30th and 31st, the latest date to cancel without paying the full fee is the 2nd.
- Cancellations received between 28–42 clear days before the start date will be charged 50% of the fee. You will be entitled to a refund of 50% of the full fee.
- Cancellations received more than 42 clear days before the start date will be charged 30% of the fee. You will be entitled to a refund of 70% of the full fee.
- All refunds will be subject to a £25 administration fee.
We understand that life happens - unexpected injuries, illness, or personal circumstances can arise. As such, in genuine unforeseen circumstances, credit may be offered at our discretion for cancellations.
If you’re cancelling due to a serious reason such as injury, illness, or a personal emergency, please explain clearly when emailing us. In some circumstances, we may ask you to provide written proof such as a note from your vet, or doctor.
Credit will not be offered for avoidable circumstances, such as choosing to attend another event, accidentally double-booking yourself, or any other reason where you and your dog are still physically able to attend the training but are choosing not to.
If credit is granted:
- It will be valid for 6 months from the date of issue.
- It can only be redeemed once. For example, if a class booking is transferred and you’re then unable to attend the new date, further credit will not be offered.
- We reserve the right to refuse credit if we believe someone is excessively taking advantage of our goodwill.
Last-minute cancellations have a big impact on small businesses like ours, especially when we’re unable to fill places at short notice or re-sell those taken by people using credit. We'll always try to be flexible where we can. Thank you for your understanding.
Weather Policy
The safety and welfare of our clients and their dogs is our highest priority. We reserve the right to close the field and cancel any bookings if, in our professional judgement, extreme weather conditions make it unsafe or unsuitable to proceed. This includes, but is not limited to, excessive heat, torrential rain, thunderstorms, snow, or ice.
If we cancel a session, we will notify you by email using the address provided when you booked. We will give as much notice as possible, but as the weather can be unpredictable, changes may be made at short notice. We cannot be held responsible if you arrive because you did not see the message in time, for example, if you had already started travelling, or do not check your emails regularly.
If a session is cancelled, we will offer an alternative, which may include:
A different time slot (for example, early morning or late evening to avoid heat)
A different date (depending on what is available this may be a different day of the week to your original booking)
We will be unable to issue refunds or offer credits should you choose not to attend the alternative session offered.
For multi-day bookings where you have booked accommodation or other services with third parties, we are not responsible for any costs or losses you may incur as a result of changes or cancellations.
If we have deemed the weather conditions safe, but you choose not to attend your booking due to the weather, please note that there will be no refunds for no-shows or cancellations.
All non-commercial "by the hour" field and barn bookings can be rescheduled up to 72 hours before the booking is due to start. To avoid any inconvenience which may arise from the weather policy above, we advise you to keep an eye on the weather forecast and reschedule bookings in advance if the weather is likely to impact your visit.
Those with commercial “by the day” bookings should be aware that if we have deemed the weather conditions safe, but you choose not to attend due to the weather, this will be treated as a client cancellation and our standard cancellation terms will apply.
Use of the field and barn - General Terms
The field is fully fenced, but if your dog is a jumper or a professional escape artist, the field may not be totally secure for you. We cannot be held liable if your dog escapes. Should your dog escape, you are liable for any damage caused to neighbouring properties or other animals, and any resulting costs are payable by you.
Dogs must be accompanied and supervised by their owner/handler at all times.
All puppies must have completed their initial course of vaccinations before attending. For adult dogs, up-to-date vaccinations are strongly advised. Vaccination certificates will be checked, and we reserve the right to refuse entry if proof of vaccination cannot be provided.
All dogs must wear a suitable collar or harness with a lead attached and must have a legally compliant identification tag showing the owner’s name and address. The only exception to this requirement is for working gundogs attending our shoot experience days.
Children under 18 are allowed on the field but must be supervised by an adult at all times. Dogs and under 18-year-olds should never be left unattended.
Aversive training tools such as choke chains, prong collars and shock collars are not allowed, nor is harsh handling (verbal or physical). For a full list of what is deemed unacceptable, please see the Gundog Trainers Academy Code of Practice Appendix 1. If you or members of your party are caught using such methods, you will be asked to leave and will not receive a refund, all future bookings will be automatically cancelled and will not be refunded.
Bitches in season are allowed to use the field and barn for private hire use. If you are attending an organised activity, course, workshop, event, assessment, shoot experience etc. at Kemble's Field, please contact organiser directly to check what their policy is concern bitches in season. Bitches in season are not permitted to attend any group bookings made directly with Kemble's Field.
You MUST pick up all of your dog’s poo please, which must be bagged and put into the bins provided. Anyone failing to do so may be refused future use of the field. Please supply your own poo bags and do not put any unbagged poo directly in the bin.
Do not drop litter or leave toys or uneaten treats in the field.
You must discourage your dog(s) from digging in the field. Any holes dug by your dog(s) must be filled in before you leave the field and reported for safety and security reasons. Please take a photograph of its location and email hello@kemblesfield.co.uk. Failure to rectify any damage caused may result in a charge.
We will make every effort to check and maintain the field but please notify us immediately of any issues with fencing, gates, holes or any other escape risks.
Please treat the property, facilities and equipment with respect. The training equipment is to be used by dogs only. Humans must not use or climb on the equipment. It is the owner/handler’s responsibility to ensure that any equipment used is suitable for their dog(s), paying particular attention to the dog’s height, age and fitness limitations.
Be aware of uneven ground when setting up equipment, to avoid any injury to yourself or your dog(s). We cannot be held liable for any injury incurred by you or your dog(s) while using the equipment. You must inform us if you damage any equipment, for which you may be charged.
Do not climb on any fencing, gates, walls or trees.
The ground is quite uneven in places therefore due care must be taken while walking and appropriate footwear must be worn. As with any rural setting, the field may be muddy at times and the presence of common countryside features such as (but not limited to) brambles, nettles, thistles, other naturally occurring plants, acorns, possible rabbit holes etc should be accepted. We cannot accept any liability for humans or animals harmed by the natural environment.
Smoking, barbecues and naked flames are strictly prohibited.
Vehicles are parked at the owner’s risk, and we do not accept responsibility for possessions that you leave in your vehicle.
Use of the field, barn and any equipment is entirely at your own risk. Users are responsible for the safety and welfare of themselves, their dog(s) and their family/companions at all times. You are advised to insure your dog(s) for all eventualities.
Users are responsible for the behaviour and actions of all persons and dogs in their party. You are liable for any damage caused on the site by you, your dog(s) or anyone in your party. Any significant repair costs relating to damage done will be payable by you.
If your dog(s) attacks another person or dog, or in the event that he/she is involved in a fight, you agree to be responsible for any injuries incurred.
Kemble's Field accepts no liability for:
- the death of, or any injury to, any person or dog, or for damage to any property
- any losses, claims, actions, damages, costs, expenses or other liability, incurred by users during, or arising from, the use of the field or barn
- any illness contracted by any person or dog who uses the field or barn
Using the field does not create any rights over the land. Kemble's Field maintains control of the site at all times and shall be allowed access onto the land at any time to carry out inspections.
Kemble's Field reserves the right to amend the terms and conditions, review the pricing structure, or withdraw promotional offers, at any time.
BY BOOKING AND USING THE FIELD IT IS ACCEPTED THAT THE USER HAS READ AND AGREED TO THESE TERMS AND CONDITIONS. USERS WHO DISRESPECT THE TERMS AND CONDITIONS WILL BE DENIED ACCESS TO THE FIELD.
